Terms
Rental from one day to twelve months. Maintenance, insurance and roadside assistance are included. With-driver rentals use our certified drivers; without-driver rentals require a valid category C/CE licence and a signed rental agreement.

WEST GATE LLC ("West Gate", "we") transports cargo, rents trucks and distributes fuel and chemicals, including across the Ukrainian border. This work involves data about shippers, consignees, drivers and vehicles. This policy describes that data and our commitments, under the Law of Ukraine "On Personal Data Protection" and, for transfers and clients in the EU, the GDPR.
1. Controller

2. Data we collect
- Shipper and consignee data: names and contacts of company representatives, loading and delivery addresses, cargo descriptions.
- Transport documents: CMR consignment notes, rail waybills, customs declarations and invoices, which contain names and signatures of the people handing over and receiving cargo.
- Driver data: for our drivers and drivers of rented trucks: name, licence category and number, passport details for border crossings, ADR certificate, working and rest time records from tachographs.
- Vehicle telemetry: GPS location, speed and fuel level of our trucks.
- Rental customer data: identity documents, driving licence, rental agreement, deposit and damage reports.
- Fuel and chemical customers: contacts, delivery points and, for restricted chemicals, the documents that entitle the buyer to purchase them.
3. Purposes and grounds
- Planning, performing and invoicing transport, rental and supply contracts (contract).
- Customs clearance and border crossing (legal obligation).
- Compliance with driving time rules, ADR and chemical safety regulations (legal obligation).
- Tracking trucks to protect cargo and inform clients of shipment status (legitimate interest).
4. GPS tracking
Trucks are tracked during working time only. Clients see the location of their shipment, not a driver's full history. Location data is not used to evaluate drivers outside the requirements of driving time rules.
5. International transfers
For cross-border shipments, data in transport and customs documents is transferred to customs authorities, carriers and consignees in Romania, other EU member states and Moldova. Transfers to the EU are made to countries providing an adequate level of protection; other transfers happen only to the extent necessary to perform the transport contract.
6. Recipients
Customs brokers and authorities, rail operators, subcontracted carriers, insurers, consignees, banks and our IT providers. We do not sell personal data.
7. Retention
- Transport and customs documents: as required by customs and tax legislation.
- Tachograph records: for the period required by transport regulations.
- GPS data: 12 months, unless needed for an insurance claim.
- Rental records: contract term plus 3 years.
- Quote requests without an order: 6 months.
8. Your rights
You may request access, correction, deletion where no legal retention applies, restriction, portability, object to processing and withdraw consent. We respond within 30 days. You may complain to the Ukrainian Parliament Commissioner for Human Rights or to your EU supervisory authority.
9. Cookies
This site uses only strictly necessary technical storage and no tracking cookies.
